This Privacy Policy explains how Watch Ledger LLC ("Watch Ledger", "we", "us", "our") collects, uses, stores and protects your personal data when you use the Watch Ledger platform and associated services.
We are committed to protecting your privacy and handling your data with transparency, security and respect.
1. Data we collect
1.1 Account registration data
- Full name
- Email address
- Password (encrypted — never stored in plain text)
- Phone number
1.2 Identity verification data (watch registration & dealer verification)
- Government-issued identity document
- Proof of watch ownership (receipts, certificates, invoices)
- Live photographs of watch and serial number
- Company registration documents (dealers only)
This data is collected solely for verification purposes and is handled with the highest level of security.
1.3 Watch and certificate data
- Brand, model, year, reference number and serial number
- Photographs of the watch
- Watch Ledger Certificate number and status
- Ownership history (transfer records)
1.4 Usage and technical data
- IP address and device information
- Browser type and operating system
- Pages visited and features used
- Timestamps of activity
1.5 Payment data
Payment transactions are processed by Stripe, Apple Pay and Google Pay. Watch Ledger does not store your full card details. Payment processors handle all financial data in accordance with PCI-DSS standards.
2. How we use your data
We use your personal data for the following purposes:
- To create and manage your account
- To verify your identity and watch ownership
- To issue and maintain Watch Ledger Certificates
- To process payments and manage subscriptions
- To operate the stolen watch alert system
- To maintain the public stolen watch ledger
- To verify and list dealer businesses in the directory
- To send you service communications and security alerts
- To investigate fraud, misuse and disputes
- To comply with our legal obligations
3. Legal basis for processing
We process your personal data on the following legal bases:
- Contract — to fulfil our obligations to you under these Terms
- Legitimate interests — to operate the platform securely and prevent fraud
- Legal obligation — to comply with applicable laws and regulations
- Consent — where you have explicitly provided consent
4. What we share publicly
Watch Ledger is designed with privacy at its core. The following applies to public data:
4.1 Stolen watch alerts
When a stolen alert is filed, the following information becomes publicly visible on the Platform:
- Watch brand, model and year
- Partial serial number (last four digits only)
- General location of theft (region/city)
- Date of report
Your full name, full serial number, address and personal contact details are NEVER publicly displayed.
4.2 Certificate verification
When a certificate is searched, the following is returned:
- Watch model
- Certificate status (Active or Stolen)
- Certificate expiry date
Your identity, full serial number and personal data are never returned in a certificate search.
4.3 Dealer directory
Verified dealer profiles display business name, location, brands handled and years of trading. Personal home addresses are never displayed.
5. Data security
We implement appropriate technical and organisational measures to protect your personal data against unauthorised access, alteration, disclosure or destruction, including:
- Encryption of personal data in transit and at rest
- Secure password hashing
- Access controls limiting data access to authorised personnel only
- Regular security assessments
No system is completely secure. In the event of a data breach that affects your rights, we will notify you and the relevant authorities as required by applicable law.
6. Data retention
We retain your personal data for as long as your account is active and as required by applicable law. Upon account closure, we will delete or anonymise your personal data within 90 days, except where:
- Retention is required by law
- Data is necessary to resolve a dispute or enforce our Terms
- Data forms part of the public stolen watch ledger (anonymised serial data may be retained indefinitely for integrity purposes)
7. Your rights
Depending on your jurisdiction, you may have the following rights regarding your personal data:
- Right of access — request a copy of the data we hold about you
- Right to rectification — request correction of inaccurate data
- Right to erasure — request deletion of your data (available after account closure)
- Right to restriction — request we limit processing of your data
- Right to data portability — request your data in a structured format
- Right to object — object to certain types of processing

8. International data transfers
Watch Ledger LLC is incorporated in the United Arab Emirates. As we operate globally, your data may be transferred to and processed in countries outside your jurisdiction. We take steps to ensure appropriate safeguards are in place for any such transfers.
9. Third party services
We use the following third party services which may process your data:
- Stripe — payment processing
- Apple Pay / Google Pay — payment processing
Each of these providers operates under their own privacy policies and security standards. We are not responsible for their data practices.
10. Children's privacy
The Platform is not directed at persons under the age of 18. We do not knowingly collect personal data from minors. If you become aware that a minor has provided us with personal data, please contact us immediately.
11. Changes to this policy
We may update this Privacy Policy from time to time. We will notify you of material changes by email or by a prominent notice on the Platform. The date at the top of this policy indicates when it was last updated.
